Approaches
Privacy Policy
Last updated 16 October 2026
Approaches is a personal progress tracker at approaches.cloud, run by 5000 approaches. Anyone with an email address can join. This page says, in plain words, what we keep, why, and what you can do about it. Questions: support@5000approaches.io.
What we keep
- Account details — your name, email address and profile photo, to sign you in and show who you are.
- Man, woman or rather not say — only if you answer it when you join. Only you see your answer. Change it any time in Settings → About you.
- What you log — your entries, notes, counts and places, and your settings.
- Media you add — photos, videos and voice memos.
- Messages — what you write to other members, and to us.
- Technical data — what’s needed to run the app, like sign-in sessions and error reports. Your internet address only in scrambled form, to count how many different people visit, deleted after 400 days. Your location only if you allow it in your browser.
How we use it
Only to run the app for you: your stats, map and history, sharing with the people you choose, and — if you use them — AI features built from your own data. We don’t sell your data and we don’t show ads.
Who helps us run it
A few trusted services help us run the app, each under its own security and privacy terms:
- Google — sign-in, and Google Calendar for coaches who connect it.
- Hosting provider and database host — run the app and store your data.
- AI providers — AI features, from your own data. They are not used to train models.
- Map provider — maps and place search.
- Email provider — email, like sign-in links and alerts.
Members and authorities can get the full list of providers by emailing support@5000approaches.io.
Google user data
If you sign in with Google, we get your name, email address and profile photo. If you’re a coach and connect Google Calendar, we can only add and remove events: each booking becomes an event with the booker invited, and it’s removed if the booking is cancelled. We never read your other events.
We use this only to sign you in and put bookings on your calendar. We don’t share, transfer or disclose Google user data with anyone, except our hosting and database providers to run the app, when the law requires it, or with your consent. We never sell it or use it for ads.
Google user data is never sent to AI services and is never used to develop, improve or train generalized AI or machine-learning models.
Approaches’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
You can disconnect Google Calendar at any time where you connected it. That removes our access.
Who sees your entries
Your entries are shared with your friends and with all members of the app, unless you turn sharing off in Settings. You can also keep any single entry to yourself. Your stats and settings are only ever yours.
You can block a member at any time.
If someone reports a post, comment or message, it’s shown to the admin together with who reported it, so the admin can decide whether to remove it. The person who wrote it is never told who reported it.
Recording
If you record video or sound with other people in it, you are responsible for following the recording laws where you are.
Your yes to keeping your data
Before you use Approaches, we ask for your clear yes to keeping your sensitive data: your approaches and connections, your location and your recordings. The app can’t work without them, so it can’t be used without your yes. We keep your yes and when you gave it. If you say no, nothing new is stored and you can sign out.
You can take your yes back any time in Settings → Your yes to keeping your data. You’re offered a download of your data first; then your account and everything in it is deleted.
Your data, your choice
We keep your data until you remove it. You can delete single entries, days or cities, or clear chosen kinds of data in Settings. You can download a copy of everything as a zip file from Settings → Export your data.
You can delete your account in Settings. That removes your data and cancels any paid subscription.
If you want any entry removed, email support@5000approaches.io and we’ll look at it.
Security
Sign-in goes through Google or a one-time link we email you, and data is encrypted in transit. No system is perfectly secure, but we take reasonable care to protect your information.
Found a security problem? Please report it to support@5000approaches.io.
Your rights, children, and changes
You can see, correct, export or delete your data at any time, and you can complain to your local data protection authority. The app is for adults (18+); our rules against child abuse are on the Child safety page. If this policy changes, we’ll update this page and its date.
